Automatic Inventory Sync: No More Overselling on Amazon & Co.
Overselling is every multichannel merchant's nightmare. An item is listed simultaneously on Amazon and eBay, sells on both platforms almost simultaneously - but only one remains in stock. The result: one order must be cancelled. The buyer is unhappy. Ratings suffer. In the worst case, an account suspension follows.
The cause is always the same: manual or delayed inventory reconciliation.
Why Manual Reconciliation Doesn't Work
Many merchants try to keep inventory up to date manually via Excel spreadsheets or through regular updates in individual platform dashboards. This works at low order volumes - but not during growth.
From around 50 orders per day, manual reconciliation becomes a full-time job. Errors are inevitable. Even with hourly updates, an item can be sold multiple times in the meantime.
How Real-Time Synchronization Works
True real-time synchronization responds to every sales event immediately: as soon as an order comes in - from any channel - the inventory counter for that item is automatically reduced on all other channels.
Technically, this happens through API connections to the respective marketplaces and shop systems. Colly.io maintains permanent connections to Amazon Seller Central, eBay, Kaufland, Shopify, and WooCommerce. Changes are typically transmitted within seconds.
Multi-Warehouse Scenarios
Many merchants operate multiple warehouse locations: a main warehouse, an external fulfillment provider, and perhaps their own retail store. Good inventory management considers all locations collectively and optimizes stock distribution across channels.
Buffer Stock as a Safety Net
Even with real-time synchronization, a configurable safety buffer is recommended. For example, if 5 units are defined as minimum stock, the system reports "sold out" as soon as actual inventory falls below this threshold - before a critical oversell can occur.
Result: Fewer Cancellations, Better Ratings
Merchants who have switched to automatic inventory synchronization regularly report a drastic reduction in cancellation rates. Fewer cancellations mean better ratings across all platforms - and thus more organic visibility.
